Reservation & Payment Policies
® CAT Online Travel Services
General Information All reservation received are subject to the acceptance of the following Reservation and Payment Policies which are part of all travel arrangements made through CAT Online Travel Services - or their affiliates.
Please refer also to our: Terms & Conditions and Privacy Statement.
Reservation Requests and Confirmation Our companies are accepting reservations by phone, fax and through a secured online reservation system. All reservations and requests are subject to our written tour confirmation and the acceptance of the following detailed reservation and payment policies - which are considerably accepted by each client at the time of reservation and/or through the payment of the initial deposit. In order to guarantee the correct handling and processing of all reservation and reservation requests - please forward any change thereof only via e-mail or fax to us. Note: We will not accept uncompleted reservation request transmissions. All reservation changes after our initial written confirmation are also subject to a written re-confirmation. Most initial requests will be answered and/or reconfirmed within 24 -48 Hours.
General Reservation Information Please provide us with the following reservation information:
1) Last Name + First Name of each Passenger
2) Children's Name, and Date of Birth (if applicable)
3) Hotel Accommodation - # of Beds, Smoking or Non Smoking Roometc.
4) Tour Program and Itinerary Dates
5) Arrival / Departure details for Transfers, Ferry, Railroad, Flight Arrangements
6) Any other Special Requests or Requirements Due to increased security on various levels we may request additional information as deemed necessary and/or required to handle and complete the reservation.
Other Reservations We gladly make reservations for clients at hotels - which are not included in our regular tariff and on our web sites. Usually we are able to reconfirm these reservations also within 24 - 48 hours.
Reservation Limitation Due to government regulations we cannot accept reservations from clients residing within the Province of British Columbia, Canada.
Rates All rates and services within ALASKA and the PACIFIC NORTHWEST are quoted in ($) U.S Dollar All rates and services within CANADA are quoted in ($) CAD Dollar - unless otherwise specified and / or confirmed in written.

The Hotel and tour rates are including all applicable taxes and mandatory service charges levied at the time of publication - unless otherwise specified. Applicable tax rates are subject to change without further notice.

All rates are NET and non - commissionable and are effective from January 01, through December 31. of the current year unless otherwise stated.

Optional gratuities for service provider, tolls, meals, entrance - and national park fees, optional insurance, sightseeing tours etc. are not included - unless otherwise stated. All rates are including the current Canadian GST (Goods & Service Tax) and PST (Provincial Sales Tax). GST Tax rebates for overseas clients are incorporated.

We reserve the right to adjust our rates if the current Sales Tax, GST and / or PST Tax rates are changing.
Published Exchange Rates All published, quoted, and/or otherwise submitted currency exchange rates in US$, CAD$, EURO are not guaranteed – unless otherwised agreed upon in written – and are subject to change without further notice. Once a exchange rate is set and confirmed in written on the invoice or reservation confirmation, the rate remains valid until the actual travel date. Some restrictions may apply. It is agreed upon that neither our company nor a client may alter such a confirmed exchange rate without a written approval from either party.
Payment Policy In order to guarantee your reserved tour and / or travel arrangements - a deposit of 25 % of the total tour and / or package price is due within 10 days after you receive our written confirmation. We accept checks, money order, direct bank deposits, wire payments and PayPal Credit Card Online Transfers. All reservations must be paid in full 30 days prior to arrival.

In the event a reservation is made less than 30 days in advance we require full payment of all tour arrangements at the time of reservation. We accept the faxed copy of the wire transfer - signed and stamped by the bank -, cashier checks, money orders or PayPal (please inquire) online money transfers as a guarantee of payment.

Credit Cards (MC, Visa, American Express) are only accepted via PayPal. Due to the increased security - the verification process for funds transfers may take up to 10 days. A supplementary currency exchange fee of 3 % will be added to the final invoice. Please refer to: http://www.paypal.com or contact us for information.

Important: Passengers will not be accepted / accommodated unless full payment has been received by our company on / or before the due date(s). Any service fees, bank charges or processing/transfer fees are the responsibility of the sender. Occurred charges will be charged back to the sender. We reserve the right to cancel any part - or the entire tour arrangement - if the deposit and/or balances are not paid at the due date indicated on our invoice. Any unauthorized deductions from invoices or late payments may result in an automatic cancellation. Cancellation fees are applying according to our cancellation policy. All cancellation fees are due immediately after receipt of the appropriate invoice.

Remember: You are entering into a legal and binding contract with us. According to our company policies we will strictly enforce payments on overdue accounts.
Late Reservation Payment Fee If payments (balance and deposits) are not received in time, a $50.00 late payment fee will automatically be added to the reservation. All reservations (except: Sightseeing Tours) made 21 days or less prior to arrival are subject to a $30.00 handling charge. The charge is intended to cover last minute phone and fax expenses, documentation fees, payment processing and reservation fees.
Refunds Unused tour services or any portion thereof are non refundable. Excursions, hotel, motorhome and tour cancellations or changes after the departure date are subject to applicable cancellation fees. All refund requests are only honored within 14 days of cancellation - or 14 days after the date that the service was supposed to be provided to the client. Refund requests need to be submitted in writing - accompanied by the appropriate documentation. Please forward all requests directly to CAT Online Travel services and allow a processing time of approximately (4) four weeks.
Complain Resolution Each client is required to inform the relevant supplier and/or tour guide as well as CAT Online Travel Services immediately – but not later than 24 hours after they occurred - about any complications or problems. Complaints after departure or delayed complaints - for whatever reason - are not honored. Toll free phone in USA & Canada (888) 522-5575 (German / English / French speaking telephone service).
Group Size Motorcoach tour itineraries are based on a minimum of 20 passengers or as otherwise stated. Departures who are guaranteed through our company are sold on a first-come-first-serve basis and are available for a per-seat-fare. Accordingly the minimum number of passengers is not applicable! Although we reserve the right to substitute Motorcoach transportation through a 15 passenger Van or Minibus transportation if a scheduled tour is booked with less than 10 clients.

Van Tour itineraries are based on a minimum of 6-8 passengers or as otherwise indicated - except for guaranteed departures through our company. We reserve the right to cancel any tour 30 days prior to departure - if the required minimum number of passengers has not been materialized. All deposits will be refunded immediately.
Motorcoach Van Tours All Motorcoach Tours include the service of a driver AND multilingual escort - or as otherwise stated or confirmed. Hotel accommodation is as specified or similar including applicable taxes, baggage handling fees, information package with a detailed itinerary and a sightseeing tour program as specified. All Van Tours are including the service of a combined multilingual driver/escort, accommodation in hotels as specified or similar including applicable taxes.

Information packages with detailed itineraries, (optional) or included sightseeing tour programs as specified are available for each tour. Most information are also available on the Internet (secured & Password protected) for convenient download access and printing.

The luggage is limited to one piece per person plus a carry on bag. Additional luggage will be charged at $5.00 per person/day.

Tours do not include: optional excursions, flights, entrance fees - unless specified, meals, gratuities and other items of personal nature.
Softadventure Camping Tours Our unique tours with max. 7 clients are emphasizing on a combination of Soft-Adventure outdoor activities such as hiking and canoeing, or on modified sightseeing. Please refer to each itinerary. We operate these tours without special physical requirements or age restrictions. Tours are fully supported and lead by an experienced and knowledgeable multilingual guide. The itinerary may be altered at the discretion of the guide if inclement weather conditions or other circumstances are preventing scheduled outdoor activities or completion of the itinerary. No refund will be made for unused services in conjunction with these changes. All tours including: service of a multilingual escort/driver guide, accommodation as specified or similar including applicable tax, baggage handling fees, information package with a detailed itinerary and a sightseeing tour program as specified. Car Rental Motorhome Rental Car and motorhome rental rates do not include gasoline, insurance, tax, tolls, transfers, additional driver fees, northern surcharges, one way fees, preparation fee or convenience kits - unless otherwise specified, A valid driver license and a major credit card is mandatory for all rentals and/or the designated driver. All rates and terms are subject to change without further notice. All exterior - and interior layouts / images published on our internet sites are to be used as samples only. Accordingly can not assume any responsibility for these information.

All car and motorhome rental companies reserve the right to upgrade clients to larger units (in some instances to a smaller unit) at their discretion - if the originally booked unit is sold out or not available. Refunds are limited to the difference of the applicable rental rates. Additional expenses are the responsibility of the renter.

Escorted motorhome tours are requiring 6 motorhomes per tour date. We reserve the right to cancel any reservation up to 30 days in advance if the requested # has not been materialized.
Hotels Itinerary changes are possible due to the seasonal characteristics of the northern regions, because many cities, areas and communities are limited in the number of hotels offered. We reserve the right to substitute hotels of a similar category - or upgrade clients at our discretion to confirm complete tour packages - if our usual advertised hotels are sold out. Specific room assignments are the sole discretion of the hotel management. We are unable to guarantee a specific room type and/or location! We also reserve the right to substitute hotels of a similar category to any pre-reserved FIT program if this is deemed necessary. Accordingly we will inform the client and / or tour operator of any changes no later than 10 days prior to the client’s arrival date.
Equipment Rental We provide our clients with the best brand name and State-of-the-Art rental equipment available. The equipment may be rented individually or as part of one of our soft-adventure tours. Returned equipment should be free of defects and damages. If the material has been damaged - or in case of equipment loss - we will charge the actual replacement value or necessary repair cost to the clients credit card and/or deduct it from the mandatory security deposit.
Soft Adventure Touring Canoeing, rafting, fishing floats, hiking, camping, fly-outs and sightseeing flights, guided Soft-adventure van tours as well as other and similar outdoor activities are not entirely "risk free". None of our companies can assume responsibility for injuries, completion of tour itineraries, inclement weather conditions or flight delays etc. Any change beyond the actual itinerary will be the responsibility of each client. Requests for refunds are generally not applicable and are declined. Although, we recommend additional travel insurance. In order to participate in a soft-adventure program some operators may require an insurance waiver release form for a participant prior to the tour departure. Some of the tours offered by our suppliers e.g. flight-seeing, wildlife tours may require a minimum number of participants in order to materialize. Cancellations are possible up to 72 hours in advance. We are unable to resume responsibilities for any delays, cancellations and / or additional coast occurring through such a cancellation. Although we do the best possible to reschedule the tour or provide alternative arrangements on request of the client.
Self Drive Tours We provide very detailed and professional tour documentations for each client upon arrival or after a reservation is confirmed and the deposit has been received. The information may be forwarded by mail prior to tour departure, as pick up after arrival, or as download from our web site. Please refer also to the information in our fly/drive section. Some of our tours also include the current Milepost or similar tour literature publications. Pre-shipment is available at an additional cost.

All tours include: accommodation as specified or similar, applicable taxes, ferry transportation (if applicable), a sightseeing program (if applicable) and a rental car. Car upgrades are available at additional cost.

Rental cars (if not optional) are including unlimited mileage/km – or as otherwise stated - and a basic or extended CDW insurance according to the current State or Provincial laws. Please refer to each itinerary.

The Self Drive Program does not include: admissions, porterage, tolls, meals, gratuities, national park admission, parking fees and sightseeing tours - unless specified.

Our company reserves the right to modify or change confirmed itineraries, and substitute hotels of a similar category in order to complete/confirm entire tour packages.
Travel Documents Each client shall be responsible for obtaining valid travel documents, complying with customs and other regulations of the country to which they are traveling. CAT Online Travel Services and their affiliates are accepting no responsibility for any problems related to/and or in obtaining these documents.
Company Responsibility CAT Online Travel Services, its employees or agents and its other affiliated companies acting only as agents - and therefore none of them shall be liable for any injury, damage, loss, loss claims, accident or delay which may be generated by reason of any company or person who engaged in conveying the passengers, or otherwise in connection therewith, or of any hotel owner, manager or employee.

CAT Online Travel Services accepts no responsibility for losses or additional expenses due to delay or changes in train, bus, ship, airplane - or other services, sickness, weather, war, quarantine, government action or other causes.
Flight Reservations Special airfares and some restricted airfares may require full payment within 24 hours after confirmation or at the time of reservation. We cannot assume any responsibilities for fare increases. Long distance flight reservations in conjunction with tour packages are non-refundable as well - even if the tour has been cancelled through CAT Online Travel Services or their supplier due to non-materialization of the required tour group size. Cancellations for flight charters due to inclement weather conditions or any reason beyond our control or responsibility are only partly refundable. It is the client’s responsibility to claim these refunds within 14 days after they occurred.
Cancellations The following cancellation (No-Show) charges are applicable to every confirmed direct, telephone, fax, online and / or internet reservation without exceptions. We highly recommend cancellation insurance. Please refer to your appropriate tour reservation and / or program.
